The Client

Our client is a global leading investment and consulting firm, specializing in real estate, that caters to organizations of all sizes, across industries, all over the world.  Their client needed a solution for managing the budgeting and funding of multi-year utility projects.

The Problem

Utility infrastructure projects are proposed by the distributed set of project managers who are responsible for one or more of the housing facilities in a large government organization.  The project managers gather details about the infrastructure improvements, identify the project costs for each fiscal year and submit them for review and approval. The approval, budgeting and funding is managed by a central team.  The process was being managed manually through spreadsheets and email.  It was a cumbersome process with no visibility to the central team or project managers on the status of each project.

The client needed a way to enable each project manager to work independently on their projects and submit a project when it was ready for the central team to review and validate.  They also needed a way for the central team to know when a project was ready for their actions and for the project managers to know if additional action was required after a project passed through the central team.

What We Did

The solution involved a new cloud-based application that included a project detail page enabling each PM to create, edit and submit their projects.  It also enabled the central office to enter their pertinent project details and take related actions. Automated notifications and a simple workflow were implemented which resulted in improved visibility and control.  Export capability enabled users to filter projects and export them to Excel for further review and analysis.  A project summary page with links to the individual projects provided an at-a-glance view with key project details such as status and requested budget dollars for upcoming fiscal years.

The Results

The new application enabled the client to have improved operational efficiency, accuracy and visibility in the budgeting process for their utility projects.   Work can now be done concurrently resulting in a greatly improved user experience – focus has now shifted to the project work not on the process!
